The use of ESN Galaxy account is subject to the Terms of a legal agreement between you and ESN International. The present document contains the agreement and explains the General Terms. These Terms are referred to below as the “General Terms”. In addition to these, the agreement with ESN International will also include the Terms of any legal notes applicable to the services provided time by time, which are referred as “Additional Terms”. All the terms are part of the agreement and collectively binding for the user. In case of any contradiction between the “Additional Terms” and “General Terms”, the “Additional Terms” shall take precedence in relation to that service.
You must accept the Terms by:
(B) differently, directly using the ESN Galaxy account. This means that you agree that ESN International will treat your use of the Galaxy account services as acceptance of the Terms.
Please, take in mind that you may not use an ESN Galaxy account if you are not of legal age to form a binding contract with ESN International.
2. The information collected. Privacy
We will only collect personal information about you and given by you when you register with us.
We recommend that you make sure you enter the information: you are responsible for the content of the personal information, including the picture that you upload; you are requested to not create an account for anyone other than yourself without permission, as well as to not create more than one personal account profile.
We will always let you view the personal information we have about you. To access this, first login; then click on the "My account" link on our websites. You are able to update, edit and delete your personal information in the same way.
You are able to remove your ESN Galaxy account and all the information which is stored with it at any given time by selecting “Delete” on your profile page. Alternatively, you can delete your account from ESN Galaxy by e-mailing wpa[at]esn.org
The National Representative of your country can also remove your account if it is being used improperly.
When the information or account is modified or deleted by you, we make sure that we shall have no more information concerning you.
Some of your personal information, such as name and surname, email addresses and other contact information, gender, nationality, personal pictures, role in ESN, section of ESN and Country, Home University and Country, University and Country where the exchange mobility program is undertaken, ESN membership card number as well as other information concerning your ESN curriculum, will be accessible to the other users which have been registered in ESN Galaxy. Other specific personal information concerning, for example, the place of birth, personal identification documents (e.g., passport and ID card), fiscal and health identification documents and family status are not accessible to other ESN Galaxy users. The information concerning the addresses and phone numbers, as well as further emails besides the one necessary for the purposes and functions of the account, will be accessible to others ESN Galaxy users exclusively if there is a specific consent for that.
We cannot be held responsible for the improper or illegal use of your accessible information by other ESN Galaxy users, so please be careful to manage this information at the moment of their registration.
3. Purposes for which we use information about our users
Your information is held by ESN International via our website.
We collect information about our users for a variety of purposes. These include the following purposes:
where users supply information to us pursuant to schemes and services which we offer or to obtain information about jobs and courses, information will be processed by us to supply the information and material which we promise to supply members;
so that we can inform our users (if they expressly manifest their wish, by choosing the possibilities Would you like to receive email alerts which correspond to your profile, on the following areas?) or “Yes, I would like to receive the ESN Newsletter each month”) of new products and services which may be of interest to them, so that we can send you news items which are relevant to your interests to help us improve and personalise our services.
4. Privacy and passing on information about you
We may disclose aggregated but not individual statistics to potential advertisers, such as the number of users we have, their average age, location, etc. We will not pass on information about you as an individual (as opposed to aggregated information) to third parties. If you give your consent, we may send communications to you to provide information and services that you have indicated may be of interest to you. The more we know about you, the more value we can offer you by means of a personalized service. We may store certain personal information and use this to offer you personalized services and information through our systems. If you have given consent and you want us to stop providing such services to you, you can a) delete your account or b) send an e-mail to na[at]esn.org
Keeping information about you secure is very important to us. However, no data transmission over the Internet can be guaranteed to be totally secure. As a result, while we strive to protect your personal information, we cannot ensure or warrant the security of any information which you send to us, and you do so at your own risk.
ESN International will take precautions to protect against the loss, misuse, and alteration of your user data under our control. Only authorized members and subcontractors will be given access to the information you provide us. It is our policy that you will only receive information from organizations such as employers and educational institutions in accordance with the preferences expressed by you. Our systems are designed to ensure that your data can only be viewed online if your logon ID and password are correctly input. While we cannot guarantee that loss, misuse, or alteration to data will not occur, we take many precautions aimed at preventing such occurrences.
You are ultimately responsible for the security of your login ID and password. Please take care when using and storing them. We recommend that you do not divulge your password to anyone. You should log out of your account at the end of each computer session to ensure that others cannot access your personal information, especially if you share a computer with someone else or are using a computer in a public place like a library or Internet cafe. Do not forget that you are responsible for the use of your account.
Also, by using cookies we make ESN Galaxy account easier to use, including to store your login ID so it is easier for you to login when you open another session, but we do not store your password. You can remove or block cookies using the settings in your browser, also if this may be of obstacle to your ability to use your ESN Galaxy account.
7. Transferring your information abroad
Information supplied by you to us, whether submitted by you via this or other web sites (or other communications, such as registration forms) will only be transferred abroad by us for the purpose of performing contractual obligations owed by us to you.
8. Automated decisions taken by us about you
Assumptions are made about your interests depending on the information you have entered. For example, if you registered with ESN International via a university in Spain, we assume you are interested in offers applicable in Spain. Assumptions are made about your interests depending on the courses you have studied. If you provide us with a university e-mail address we assume you are studying at that university unless you provide us with your university information. We assume you speak certain languages based on your nationality. This assumption is very limited and for most nationalities there are no language assumptions made.
The content of ESN Galaxy account may include text data and multimedia items (such as texts, drawings, graphics, logos, icons, images, audio and video material, photographs and programmes), which are protected by the provisions of national and international law applying to intellectual property. The textual data and multimedia items are the exclusive property either of ESN International or of their authors. The user must respect the intellectual property rights held by ESN International and third parties, without prejudice to the rights and exceptions provided by any binding provisions. Reproduction of textual data and multimedia items which are the property of ESN International or of third parties and for which the ESN holds the rights of use is authorized for non-commercial purposes only provided that the entire item is reproduced and the source is acknowledged.
Of course, the user undertakes not to delete or change the indications of the author or the source and not to seek to circumvent the technical measures put in place to protect documents and multimedia items, such as print or download restrictions and visible or invisible tagging. Any infringement may lead to civil and criminal proceedings, besides to lead to the removal of the account.

10. Location of the data
The seat of ESN International is ESN International, Rue Joseph II 120, 1000 Brussels, BELGIUM. The data collected by ESN International could be stored in different places and (under contract) by data processors and third parties appointed by us.
11. Responsible body
The “controller” of the treatment of your data is the ESN International Board.
The data may be treated by some specific “processors” on behalf of the controller.
